Job Title: Office Administrator / Receptionist – Part Time with potential for full time

Location: Calgary

Reports to: Senior Human Resources Manager

We are seeking a highly organized and professional Junior Receptionist & Administrative Assistant to support the day-to-day operations of our office. This role is the first point of contact for visitors and plays a key role in maintaining efficient administrative processes across the organization.

The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced oil and gas environment.

Responsibilities of this role include, but are not limited to:

  • Serve as the first point of contact for all visitors, ensuring a professional and welcoming experience
  • Answer and direct incoming calls in a courteous and efficient manner
  • Manage incoming and outgoing mail, courier services, and deliveries
  • Maintain reception area and meeting rooms to a high standard
  • Provide general administrative support to various departments
  • Assist with scheduling meetings, booking boardrooms, and coordinating calendars
  • Prepare and format documents, reports, and presentations
  • Support onboarding logistics for new hires (workspace setup, materials, coordination)
  • Assist with filing (digital and physical), data entry, and document management
  • Order and manage office supplies, kitchen stock, and vendor services
  • Coordinate office maintenance requests and liaise with building management
  • Assist with internal events, team meetings, and company functions
  • Support travel arrangements and expense submissions as required
  • Others duties as assigned

Desired Skills and Experience:

  • 1–3 years of experience in a receptionist or administrative role or a student currently enrolled in Business Administration course or equivalent
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, reliable, and service-oriented mindset
